In this role you will contribute to the efficient operations of the correctional centre by providing administrative and secretariat support to the General Manager. In addition this role will also be involved in the co-ordination and delivery of other clerical and administrative duties as required as part of the centre’s overall administration team.

The primary accountabilities of the Support Officer include:  

  • Examine incoming correspondence to determine the appropriate action. 
  • Check outgoing correspondence for content and adherence to style guides and formatting requirements and amend where necessary. 
  • Register incoming and outgoing correspondence and prioritise accordingly. 
  • Manage appointment diary on behalf of management. 
  • Ensure the confidentiality of all documentation handled and maintain a secure filing system. 
  • Liaise with officers at all levels within both public and private sectors in relation to the centre's activities. 
  • Schedule meetings, book meeting rooms and organise teleconferencing if necessary. 
  • Book travel including accommodation, car hire and flights.
  • Provide support and advice to other staff administrative issues and assist with the preparation of briefs, memorandums, submissions and executive and ministerial correspondence. 
  • Provide support and assistance in the use and maintenance of office communication and technology including answering phones, facsimiles, photocopiers, printers and computers. 
  • Screen telephone calls and redirect enquiries to appropriate areas of the office and Agency. 
  • Provide administrative functions and confidential administrative support for the centre including faxing, photocopying, filing activities and taking minutes at various meetings. 
  • Undertake procurement activities to ensure centre resources are adequate including stationery and miscellaneous office supplies.  
  • Perform the computer-based functions of word processing, data entry and using spreadsheets. 
  • Undertake procurement and financial processing duties requiring financial reporting, purchase orders, corporate card reconciliation, monitoring of transactions and conduct banking as required. 
  • Process human resources paperwork including the processing and record keeping if required. 
  • Perform opening and closing procedure. 

The role description provides the minimum requirements for the role. The incumbent may be required to undertake other duties as required outside of these primary accountabilities.
