Pacific Coast Scaffold and Construct Clean Whitsundays are looking for a reliable and organised Office Admin & Compliance Assistant to help support our scaffold and cleaning-related operations.

This is a casual role with flexible hours available. The position would suit someone who is confident with general office administration, good on the phone, organised with paperwork, and comfortable using computers and office systems.

You do not need to have scaffold or cleaning industry experience, but you do need to be reliable, accurate and able to work independently once shown the process.

About the role

You will help keep the office organised and support the day-to-day admin behind our scaffold and cleaning businesses. The role includes answering phones, filing documents, assisting with worker compliance, helping with scheduling, organising receipts and bills, and providing basic Xero/admin support.

This is an important support role within the business, helping make sure records, paperwork and compliance items are kept up to date.

Duties include

Answering the office phone and taking clear messages
Responding to basic emails and admin enquiries
Filing and organising documents, bills, receipts and job paperwork
Assisting with worker compliance, licences, tickets and inductions
Following up missing or expired worker documents
Helping maintain staff and subcontractor records
Assisting with scheduling and job coordination
Basic Xero support, including receipts, bills and reconciliation assistance
Saving and naming documents correctly
Keeping office records and compliance folders up to date
General office admin and support as required

We are looking for someone who is

Reliable, organised and consistent
Good on the phone
Confident using computers, email and basic office systems
Able to work independently once trained
Strong with attention to detail
Comfortable following checklists and procedures
Able to politely follow up paperwork when needed
Trustworthy with confidential business and worker information

Experience preferred but not essential

Experience with Xero or similar accounting software
Previous office administration experience
Construction, trade, scaffold, cleaning or service-business admin experience
Experience with worker compliance, inductions, licences or site paperwork
Good knowledge of Microsoft Office, Google Drive, Dropbox or similar systems

Training can be provided for the right person.

Hours and pay

Casual position
Flexible hours available
Approx. 18–32 hours per week to start
School-hours friendly options may be available
Potential for more hours as the role grows

Pay: $35–$40 per hour + super, depending on experience
