Are you the organiser who keeps operations moving, people informed and safety actions on track? We are looking for a proactive Division Administrator to support one of our operational divisions across day-to-day administration, workforce coordination, safety compliance, injury management and return-to-work support.

This is a hands-on, all-encompassing support role for the division. You will not be expected to own commercial decisions, pricing, contracts or financial performance; however, you will provide the accurate information, coordination and follow-up that helps the division operate safely, consistently and efficiently.

You will work closely with the Divisional Manager, operational teams, the People/Safety/Environment function, the Business Operations Manager and external stakeholders. Your focus will be keeping records, systems, people processes and safety actions accurate, current and moving.

What you will do

  • Provide day-to-day coordination and administration support to the division, including inbox management, calls, documentation, action tracking and system updates.

  • Raise purchase orders, support job setup, maintain job numbers and cost codes, and match invoices to approved purchase orders before processing.

  • Coordinate timesheet, leave and labour input information so accurate data is available for payroll processing and reporting.

  • Maintain employee files, onboarding records, inductions, training records, licences, medicals and other workforce compliance information.

  • Prepare accurate payment claims and client invoicing in a timely manner.

  • Coordinate employee communication across operational teams, including follow-up of actions, documents, training, uniforms, accommodation and access requirements.

  • Support safety administration, including safety registers, corrective actions, business improvement/non-conformance tracking, audit preparation and document control.

  • Coordinate injury management and return-to-work administration, including medical appointments, work capacity certificates, suitable duties documentation, review dates and stakeholder follow-up.

  • Maintain accurate records in systems such as SprintSuite, SharePoint, Xero, WorkPro or similar business systems.

  • Identify process gaps and support practical improvements to make division workflows more consistent, visible and reliable.

What you will bring

  • Experience in a coordinator, operations administration, project administration, workforce coordination, safety administration or similar support role.

  • Strong attention to detail and the ability to keep multiple actions, records and deadlines moving at the same time.

  • Confident communication skills with employees, supervisors, managers, suppliers, agencies and external providers.

  • A practical understanding of timesheets, leave, training records, employee documentation, system data and action tracking.

  • Exposure to safety, injury management, suitable duties or return-to-work administration will be highly regarded.

  • High level of confidentiality and professionalism when handling employee, medical and injury-related information.

  • Confidence learning and improving systems and processes.
