About the Role

This position is available on a casual, part-time or full-time basis, depending on the successful candidate’s availability and suitability.

This role is ideal for someone with previous experience in dental administration, reception leadership, or practice coordination who is looking to take the next step in their career. The ideal candidate will be adaptable, detail-oriented, and confident leading a team while contributing to the ongoing growth and success of the practice.

As Practice Manager, you will be responsible for overseeing the day-to-day operations of the clinic, supporting and leading administrative staff, managing patient experience, monitoring practice performance, and ensuring efficient business operations. The role involves a combination of leadership, administration, and operational responsibilities, including managing patient communication, scheduling, billing processes, banking, compliance, stock control, and team coordination.

The ideal candidate will be well-presented, highly organised, and possess excellent communication, leadership, and people management skills. Key Responsibilities and Skills

  • Oversee the day-to-day operations of the practice, ensuring efficient workflows and exceptional patient experiences

  • Lead, mentor, train, and support reception and administrative staff

  • Manage patient bookings, appointment scheduling, and reception processes

  • Manage patient accounts, billing, and private health fund claims

  • Ensure accurate processing of payments, reconciliations, and daily banking

  • Monitor practice performance and assist with achieving operational and business goals

  • Maintain compliance with privacy legislation, infection control requirements, and practice policies

  • Act as the primary point of contact for patient enquiries, concerns, and feedback

  • Work closely with dentists and clinical staff to ensure smooth and efficient practice operations

  • Coordinate maintenance and re-stocking of dental and office supplies

  • Manage supplier relationships and ordering processes

  • Oversee incoming calls, emails, and patient communications

  • Prepare treatment rooms and clean and sterilise instruments

  • Assist with the preparation and presentation of treatment plans where required

  • Support recruitment, onboarding, and staff development initiatives

  • Ability to work independently and take initiative

  • Highly organised with strong attention to detail

  • Strong ability to learn new skills and adapt quickly

  • Excellent time management and problem-solving skills

  • Strong leadership and interpersonal skills


Requirements

  • Formal qualifications are not required

  • Previous experience in a dental practice is preferred

  • Previous experience in a practice management, team leadership, or senior reception role is highly regarded

  • Strong administrative and organisational skills

  • Experience with dental practice management software is advantageous

  • Excellent communication and customer service skills
