Looking for an Operations Admin Coordinator to commence ASAP in Mackay!

Your new company 
Our client is a leading port authority in Queensland, responsible for managing and developing key ports across the region, including those at Weipa, Abbot Point, Mackay, and Hay Point. With a strong focus on strategic planning, infrastructure development, environmental stewardship, and operational safety, they play a vital role in facilitating sustainable trade and economic growth throughout northern Australia.Your new role 

  • Provide administrative support to the Operations team across areas including finance, HR, procurement, security, and emergency management
  • Manage correspondence, records, and office systems, ensuring accuracy and compliance with policies and procedures
  • Coordinate
    operational meetings, prepare documentation, and take minutes
  • Deliver customer service and act as a key contact for internal stakeholders, port customers, and external agencies
  • Monitor shipping schedules, asset systems, and support operational reporting and budgeting activities
  • Support security operations, including access control, permits, compliance records, and audits
  • Coordinate resources, training, travel, procurement, and day-to-day operational administration
  • Maintain accurate documentation and contribute to continuous process improvement initiatives
  • What you'll need to succeed 
  • Demonstrated experience in an administrative role with strong system and Microsoft Office skills
  • Excellent organisational skills with the ability to manage workload, meet deadlines, and work with minimal supervision
  • Strong communication and stakeholder engagement skills with a professional and confidential approach
  • Ability to work collaboratively in a team environment, including emergency management contexts
  • High attention to detail and ability to manage records, compliance, and operational processes
  • Eligibility to meet role-specific requirements (e.g. Maritime Security Identification Card, authorised officer status)
  • Qualification in Business Administration and knowledge of maritime operations (desirable)
